    Dentazon ("Dentazon", "we", "us", or "our") respects your privacy and is committed to handling personal information responsibly, transparently, and securely. This Privacy Policy explains how we collect, use, store, disclose, and protect information when you access or use the Dentazon website, appointment-booking services, dental marketplace, educational services, artificial intelligence ("AI") features, chatbot, professional and vendor services, and other products or services made available through the Dentazon ecosystem ("Services"). Dentazon is headquartered in Pakistan and operates its Services subject to applicable laws of Pakistan, including, where relevant, the Prevention of Electronic Crimes Act, 2016, as amended, the Electronic Transactions Ordinance, 2002, applicable consumer-protection legislation, healthcare and professional requirements, and regulations and ethical requirements applicable to registered dental professionals. We also apply data-protection principles such as transparency, purpose limitation, data minimization, security, appropriate retention, and responsible handling of health-related information.

    1. Scope of This Privacy Policy

    This Privacy Policy applies to individuals who interact with Dentazon, including:
    • patients and prospective patients;
    • website visitors;
    • users of our AI chatbot and AI-enabled tools;
    • dentists and other healthcare professionals;
    • dental students and learners;
    • clinics and healthcare organizations;
    • vendors, suppliers, and marketplace sellers;
    • educators, trainers, mentors, and researchers;
    • event participants;
    • job applicants and collaborators; and
    • other individuals using Dentazon's Services.
    Where an independent dentist, clinic, vendor, educational institution, payment provider, financial-service provider, laboratory, or other third party separately collects or controls your information, that party may have its own privacy obligations and privacy policy.

    2. Information We May Collect

    Depending on the Services you use, we may collect the following categories of information.

    A. Identity and Contact Information

    This may include:
    • full name;
    • email address;
    • telephone or mobile number;
    • WhatsApp/contact details;
    • postal address;
    • city or location;
    • date of birth or age, where necessary;
    • gender, where relevant to a requested healthcare service;
    • account username or profile information; and
    • other information you voluntarily provide.

    B. Appointment and Healthcare Information

    When you request dental assistance, book an appointment, use healthcare-related features, or communicate with a dentist, we may receive information such as:
    • preferred dentist, clinic, location, date, and appointment time;
    • dental concerns and symptoms;
    • relevant medical or dental history;
    • medications, allergies, or related information that you choose to provide;
    • previous dental treatment;
    • photographs, dental images, radiographs, X-rays, reports, or similar records where supported by the Service;
    • treatment enquiries;
    • appointment history; and
    • communications concerning your care.
    Health and dental information can be particularly sensitive. Dentazon intends to process such information only where reasonably necessary for the requested service and with appropriate safeguards.

    C. AI Chatbot Information

    When you communicate with the Dentazon AI chatbot or another AI-enabled feature, we may process:
    • questions and prompts submitted by you;
    • information you provide during the conversation;
    • dental symptoms or concerns you describe;
    • booking-related information;
    • chat history;
    • timestamps;
    • technical and session information;
    • feedback concerning an AI response; and
    • relevant information retrieved from Dentazon's approved knowledge sources to generate a response.
    Because chatbot conversations may contain health information, you should only provide information that is reasonably necessary for your enquiry. Do not submit passwords, financial authentication credentials, or other information that is unrelated to your dental enquiry.

    3. How the Dentazon AI Chatbot Works

    Dentazon may provide a Retrieval-Augmented Generation ("RAG") based AI chatbot. The chatbot may use information supplied by you together with information retrieved from Dentazon's selected knowledge resources to generate a response. AI-generated responses may be incomplete, inaccurate, outdated, or unsuitable for your particular circumstances. The chatbot:
    • is intended to provide general informational and service assistance;
    • may assist with appointment enquiries and booking workflows;
    • may provide general dental education or preliminary guidance;
    • is not a substitute for examination by a qualified dentist;
    • does not independently establish a dentist-patient relationship;
    • should not be relied upon as a definitive diagnosis, prescription, or treatment plan; and
    • must not be used as an emergency medical service.
    Where appropriate, users should obtain an evaluation from a qualified dental or healthcare professional.

    AI Training and Improvement

    Dentazon may analyse chatbot usage, technical logs, feedback, and appropriately de-identified or aggregated information for security, service improvement, evaluation, and quality assurance. Identifiable private health information or identifiable private chatbot conversations should not be used to train a general-purpose AI model without an appropriate legal basis, appropriate safeguards, and, where required, the user's explicit consent.

    4. Account and Professional Information

    Dentists, professionals, vendors, suppliers, students, educators, and business users may provide additional information, including:
    • professional qualifications;
    • PM&DC registration or licence information;
    • clinic or business details;
    • educational qualifications;
    • professional profile;
    • organization details;
    • tax or billing information;
    • marketplace information;
    • product listings;
    • course information;
    • professional documentation;
    • certificates;
    • identity-verification information; and
    • information necessary to verify eligibility to participate in Dentazon Services.
    Dentazon may verify professional information against appropriate public or regulatory sources where reasonably necessary.

    5. Marketplace and Transaction Information

    Where products or paid Services are offered, we may process:
    • product orders;
    • billing information;
    • transaction references;
    • invoice information;
    • delivery details;
    • refund or cancellation information;
    • vendor information; and
    • transaction history.
    Payment-card credentials may be collected or processed directly by a payment gateway, bank, wallet, or other payment provider rather than being stored by Dentazon. Where a third-party payment provider is used, its own privacy and security terms may also apply.

    6. Educational and Student Information

    If you use Dentazon's educational or training Services, we may collect:
    • course registrations;
    • enrolment information;
    • learning progress;
    • quiz or assessment results;
    • workshop attendance;
    • certificates;
    • educational interests;

    • improve our website and Services;
    • analyse performance and service quality;
    • maintain appropriate records;
    • comply with legal, regulatory, professional, or court requirements;
    • establish, exercise, or defend legal claims; and
    • send marketing communications where permitted and subject to applicable user choices.
    We seek to collect only information reasonably necessary for legitimate and specified purposes.

    9. Appointment Information and Dental Professionals

    When you request or book an appointment, relevant information may be provided to the selected or assigned dentist, clinic, dental facility, or appropriate personnel in order to:
    • confirm the appointment;
    • communicate with you;
    • assess your stated reason for booking;
    • prepare for consultation; or
    • deliver the requested dental service.
    Dentists and clinics may have independent legal, professional, ethical, and recordkeeping obligations concerning patient information. Dentazon does not authorize professionals to use patient information for unrelated purposes.

    10. Information We May Share

    We may disclose information where reasonably necessary to:

    Dentists and Clinics

    To arrange or provide requested appointments, consultations, follow-up, or related care.

    Vendors and Suppliers

    Where required to process and fulfil marketplace purchases. Vendors should receive only the information reasonably required to complete the relevant transaction.

    Service Providers

    We may engage providers supporting:
    • website hosting;
    • cloud infrastructure;
    • database services;
    • cybersecurity;
    • email or SMS communications;
    • WhatsApp or communications integrations;
    • analytics;
    • booking systems;
    • payment processing;
    • customer support;
    • document storage; and
    • AI infrastructure.
    Such providers should only process information according to the services they provide and appropriate contractual or confidentiality requirements.

    Legal and Regulatory Authorities

    We may disclose information where required or permitted under applicable law, court order, regulatory requirement, lawful investigation, or to protect the rights, security, or safety of Dentazon, its users, healthcare professionals, or others.

    Business Transfers

    If Dentazon undergoes a merger, acquisition, restructuring, financing, reorganization, or transfer of relevant assets, information may be transferred subject to appropriate confidentiality and legal safeguards.

    11. We Do Not Sell Patient Health Information

    Dentazon does not intend to sell identifiable patient health information as a commercial data product. Information collected for a dental enquiry or appointment should not be disclosed to unrelated advertisers or marketers for their independent marketing purposes without an appropriate basis and, where required, user consent.

    12. Cross-Border Processing

    Some technology, hosting, communications, AI, analytics, storage, or other service providers used by Dentazon may operate infrastructure outside Pakistan. As a result, information may in some circumstances be processed or stored outside Pakistan. Where cross-border processing occurs, Dentazon will seek to apply reasonable contractual, organizational, and technical safeguards appropriate to the sensitivity of the information and applicable legal requirements.

    13. Information Security

    Dentazon seeks to use reasonable administrative, technical, and organizational safeguards designed to protect information against:
    • unauthorized access;
    • loss;
    • misuse;
    • alteration;
    • unauthorized disclosure; and
    • destruction.
    Measures may include, where appropriate:
    • encryption in transit;
    • access controls;
    • authentication controls;
    • restricted administrative access;
    • backups;
    • logging and monitoring;
    • secure software-development practices;
    • vulnerability management;
    • employee confidentiality requirements; and
    • incident-response procedures.
    No website, network, database, cloud service, or electronic transmission can be guaranteed to be completely secure. Users are also responsible for protecting their account credentials and devices.

    Dentazon retains information only for as long as reasonably necessary for:
    • providing the relevant Service;

    Different categories of information may therefore have different retention periods. When information is no longer reasonably required, it may be securely deleted, anonymized, or otherwise disposed of in accordance with applicable requirements.

    Subject to applicable law and legitimate retention requirements, you may contact Dentazon to request:
    • confirmation concerning information held about you;

    • correction of inaccurate information;
    • updating of incomplete information;
    • deletion of information that is no longer required;
    • withdrawal of consent where processing depends upon consent;
    • cessation of certain marketing communications; or
    • information concerning how your personal information is being handled.
    Some information may need to be retained despite a deletion request where necessary for legal obligations, healthcare records, fraud prevention, dispute resolution, security, or other legitimate requirements. Dentazon may take reasonable steps to verify the identity of a person making a privacy request.

    16. Marketing Communications

    Where you subscribe to updates, newsletters, promotional messages, or similar communications, Dentazon may contact you regarding relevant products, dental services, events, educational programs, or platform updates. You may unsubscribe from optional electronic marketing communications through the unsubscribe method provided or by contacting us. Administrative, security, transaction, appointment, or account communications may still be sent where necessary.

    17. Children and Minors

    Dentazon's ecosystem may include educational information relevant to students and may in some cases facilitate dental services involving minors. A parent, guardian, or other legally authorized person should provide information and consent where required for a minor. Children should not independently submit sensitive medical information, create transactional accounts, or purchase Services where they lack legal capacity to do so. Where Dentazon becomes aware that personal information of a child has been improperly collected, it may take appropriate steps to restrict or delete that information.

    18. Emergency Situations

    Dentazon's website, appointment system, and AI chatbot are not emergency medical services. If you believe you are experiencing a medical or dental emergency, severe bleeding, serious facial trauma, difficulty breathing or swallowing, severe swelling, loss of consciousness, or another urgent condition, seek immediate professional medical assistance or attend an appropriate emergency healthcare facility. Do not wait for an AI chatbot response.

    19. Third-Party Websites and Services

    Dentazon may provide links or integrations involving third-party websites or services. Their privacy practices are controlled by those third parties, and Dentazon is not responsible for their independent privacy practices. Users should review the relevant third-party privacy terms where appropriate.

    20. Changes to This Privacy Policy

    We may update this Privacy Policy when our Services, technology, business practices, or applicable requirements change. The revised version will be published with an updated "Last Updated" date. Material changes may also be communicated through the website or another reasonable method where appropriate.
